Job summary

We are looking for a reliable, enthusiastic and motivated individual who is committed to providing excellent patient care and is able to meet the requirements of a busy and growing Practice.

We are a friendly family Practice, committed to delivering safe, high-quality services in innovative ways. As a large, well-established and forward-thinking GP Practice, we are proud to serve a registered patient population of approximately 42,000 patients.

As our Practice continues to grow and develop, we are looking for someone to join our Medical Administrative Team who is flexible and adaptable to the needs of the service.

This is a varied and rewarding front-line role, combining medical administration and reception responsibilities. You will play an important part in supporting our patients, clinicians and wider multidisciplinary team, helping to ensure the smooth and effective day-to-day running of the Practice.

If you enjoy working in a busy environment, take pride in providing excellent customer service and are looking for a role where you can make a real difference to patients, we would love to hear from you.

We welcome informal chats or visits, if you are interested, please contact Gillian Cawkill Head of HR & Governance [email protected]

Unfortunately, we are unable to accept applications from individuals who require UK visa sponsorship. Applicants must have the right to work in the UK at the time of application.

Main duties of the job

As a Medical Administrator, you will be one of the first points of contact for our patients and will provide a professional, helpful and compassionate service across a range of administrative and reception functions.

Your duties will include, but are not limited to:

  • Providing a friendly, professional and helpful first point of contact for patients, both face-to-face and by telephone.
  • Handling telephone calls, digital contacts, practice emails and patient enquiries appropriately and efficiently.
  • Undertaking medical administration and supporting the administrative elements of clinical triage.
  • Maintaining patient confidentiality at all times.
  • Contributing to the smooth and efficient running of the Practice.

The role can be busy and fast-paced, and you will need to remain calm, professional and helpful when working under pressure. You will be expected to treat patients, visitors and colleagues with courtesy and respect and contribute to a welcoming and positive Practice environment.

Working Hours

37.5 hours per week (full-time) preferred. We may also consider applications from candidates seeking a minimum of 30 hours per week.

Working hours will be scheduled within the Practice's opening hours:

Monday to Friday: 08:00-18:30

Saturday: 09:00-17:00

The role may include a regular requirement to work until 6.30 pm on Fridays. Candidates must therefore be able to work the required Friday late finish as part of their working pattern.

Job description

We are looking for someone who is:

  • Reliable, organised, and able to work effectively in a busy environment.
  • Confident communicating with patients, colleagues and external organisations.
  • Flexible and adaptable to the changing needs of a busy GP Practice.
  • Able to manage competing priorities while maintaining accuracy and attention to detail.
  • Professional, approachable and committed to delivering excellent patient service.
  • Comfortable working across both administrative and reception functions.
  • Able to work effectively as part of a multidisciplinary team.
  • Confident using computer systems and willing to learn new systems and processes.
  • Able to use their own initiative while also recognising when to seek advice or support.
  • Committed to maintaining confidentiality and high standards of information governance.
  • Able to demonstrate our values of Compassion, Respect, Learning, Quality and Integrity in their everyday work.

Previous administrative experience and a strong background in customer service are essential.

Previous experience of working within primary care, the NHS or another healthcare environment would be advantageous. However, we will provide training on Practice-specific systems and processes.
