Main duties of the job

The VFC Coordinator will be responsible for supporting the effective day-to-day running of the Virtual Fracture Clinic (VFC) service within Trauma & Orthopaedics. This includes coordinating patient pathways, managing referrals, booking appointments, maintaining accurate records, and ensuring all clinic outcomes and correspondence are completed within agreed service timeframes.

The post holder will work closely with Orthopaedic Consultants, VFC Physiotherapists/Nurses, Outpatient Services, Booking and Scheduling Teams, Radiology, Hand Therapy, and Operational Management teams to ensure patients receive timely and appropriate follow-up care.

The role will involve reviewing and actioning VFC outcomes, processing referrals on ICE, monitoring clinic capacity, coordinating imaging pathways, and responding to patient queries via telephone, email, and digital communication platforms such as Accurx. The post holder will also be responsible for updating departmental spreadsheets and audit data, ensuring information is accurate and up to date at all times.

The post holder will be expected to prioritise urgent actions, escalate pathway delays or capacity concerns where necessary, and provide a high standard of administrative support to ensure the smooth and efficient delivery of the VFC service.

Job description

  • Be familiar with the day-to-day running of the Virtual Fracture Clinic (VFC), including the VFC data collection spreadsheets and patient information systems used within the service.
  • Review weekend VFC activity and liaise with VFC clinicians to identify any urgent actions required for Monday morning.
  • Allocate weekend patients to the Orthopaedic Consultant who covered the weekend on-call service.
  • Allocate weekday referrals to the relevant Orthopaedic Consultant responsible for the VFC session.
  • Book patient appointments in line with clinical guidance provided within the VFC outcome spreadsheets and clinic instructions.
  • Maintain accurate and up-to-date records on the VFC data spreadsheets and hospital systems.
  • Monitor and respond to emails relating to patient queries, appointment issues, and follow-up actions.
  • Manage the VFC telephone line, including answering calls, checking voicemail messages, and responding to patient queries throughout the day.
