Job summary

We are looking for an enthusiastic and motivated Clerical Officer / Administrator to join our dynamic administrative team. This role plays a key part in supporting our NHS Abdominal Aortic Aneurysm (AAA) screening service

The role is based at Royal Liverpool Hospital, is part-time (30 hours per week) and provides a fully comprehensive administrative support to the Cheshire and Merseyside AAA screening programme.

Main duties of the job

As a team member of the Abdominal Aortic Aneurysm (AAA) screening service the post holder will provide clerical and administrative support to the AAA Screening department and be the first point of contact between the screening population & the screening office.

An ability to plan own workload as appropriate and provide supportas required to the clinic/ office staff is essential.

The work involves administering andprocessing patient invitations and appointments, recording information and updatingcomputerised data systems.

Job description

1. To input statistics and information from records into a database and manage thescreening patient care system. Ensure all department recorded activity is inputinto the system daily.

2. To liaise with manager to maintain a quality information system and identifypotential flaws which would affect data.

3. To access the database to retrieve information. To assist in producing statisticsand reports for the Trust.

4. General telephone duties involving first contact with individuals contacting thedepartment. Giving necessary information or referring them to the appropriatemember of staff.

5. Communicating with all colleagues in a polite and pleasant manner. Dealing withtelephone enquiries & requests and taking appropriate action.

6. Opening, sorting and date stamping the department internal and external post. Photocopying documents and printing letters.

7. Manage and update the filing system, archiving notes as necessary from the current files. Maintenance of records.

8. Organise lists for clinic sessions involves making appointments, dealing with queries, obtaining management referral letters, maintaining appointments diary, retrieving notes and writing to colleagues about patients who do not attend.

9. Ensure relevant documentation is completed to ensure smooth running of the clinic.

10. Access results on iPM systems as and when required in a highly confidential manner.

11. Send out information to departments on request but maintain confidentiality.

12. Responsible for stock control and ordering stationary as required from reprographics and stationers.

13. Provide clerical and administrative support for staff.

14. Organise and retrieve notes required for the daily appointment system.

15. Provide a comprehensive service for arranging appointments for the AAA screening programme without supervision. Re-arrange appointments for patients when they are cancelled either by the patient or the screening programme.

16. Circulate results letters to appropriate GPs.

17. Be responsible for optimal utilisation of screening clinics.
