Job summary

South London and Maudsley is embarking on an ambitious project to delivery a new electronic patient record (EPR) system.

Effective communication and engagement will be key to the successful delivery of this Trust wide work.

The Communications and Engagement Officer plays a crucial role in supporting the Electronic Patient Records (EPR) Communications and Engagement team to deliver consistent, high quality communications.

You will be responsible for administration of the work of the team, including handling incoming enquiries, acting as an effective and professional first point of contact and signposting people appropriately.

Main duties of the job

To act as the first point of contact for all enquiries to the EPR communications team

To support the production of communications materials for the EPR programme.

To support the management of engagement programmes and events

Work with the wider team on media opportunities for the programme

To promote the work of the programme via digital channels

Job description

Administrative duties

To act as the first point of contact for all enquiries to the EPR communications team from external and internal stakeholders and to work with them in a professional, diplomatic and timely manner.

To monitor and respond to email and other digital enquiries, logging and acting upon them or signposting them appropriately.

To support the production of publicity material, eg research, copywriting, proofreading and liaising with external designers, printers etc.

To support external and internal events, including booking venues, organising invitations, taking minutes and maintaining associated records, eg attendees lists, feedback and action logs.

To maintain and regularly update contact details and lists/databases of key stakeholders.

To assist in planning and delivering publicity and awareness campaigns for the programme.

To produce letters, reports and other documents as required.

To developing an understanding of Trust and become effective in use of SLaM internal communications, intranet, website and social media platforms and support team colleagues in effective use of channels, in line with Trust policies.

Media relations

To work with the Communications and Media Manager and to log and maintain records media calls and their management.

To maintain accurate addresses, phone numbers and email details of journalists and media organisations with whom the Trust has contact.

To receive and co-ordinate press enquiries from national, regional, local media and trade press in a timely manner; actively monitoring press and media articles, blogs and social media postings so that the Trust is alert and ready to contribute to current public discussions relating to the EPR programme.

To help research and draft material for publication by the team, supporting other members of the department and working with managers across the Trust.

To monitor and record media and social media coverage about the programme and undertake evaluation and produce reports.

Website/intranet/digital and social media communication

To upload information to the Trust website and intranet as appropriate

To work with colleagues to ensure relevant content on the programmes on the Trusts website and intranet is stay fresh, up-to-date and continually refreshed using online content management system, working with colleagues across the Trust as necessary.

To support the programme communications and engagement team in providing content for all relevant Trust-owned digital and social media channels

Events and Meetings

To manage administrative and organisational activities for internal and external stakeholder events working with programme and wider Trust teams and partners including: researching and booking venues and venues liaison; issuing and managing responses to event invitations, liaison with delegates, helping to produce support materials and presentations; liaison with suppliers of design and other services; learning and developing competencies in managing online (videoconference and webinar) platforms and supporting effective delivery of events through digital platforms.

To organise and lead administration of meetings including arranging digital platforms (videoconferences), bookings and invitations, liaison with attendees, producing and issuing advance papers and where required attending and drafting minutes and actions.

Other Duties

To handle and be sensitive to the use of confidential information including at times patient and staff information.

To maintain appropriate and professional relationships with staff, stakeholders, partner organisations, patients and families/carers and others.

To be able to work in a team under pressure of timed deadlines.

To work independently with the ability to juggle numerous tasks.

To produce written work to a good standard.

Any other activities as requested by your line manager.

Work collaboratively to support all communications and engagement team colleagues
