Job summary

As a Site Coordinator within our Estates and Facilities team, you will play a vital role in ensuring our sites remain safe, clean, compliant and welcoming for patients, visitors and staff every day. Based across our healthcare locations, you will coordinate a wide range of facilities services including domestic cleaning, waste management, linen, portering, grounds maintenance, security and catering liaison activities. This is a varied and rewarding role where no two days are the same. You will work closely with clinical teams, contractors and colleagues to maintain high service standards, resolve operational issues and help create environments that support outstanding patient care. You will also contribute to service improvement, quality assurance and compliance activities, helping to ensure services are delivered efficiently and effectively. Main duties of the job

As a Site Coordinator, you will be responsible for the day-to-day coordination and monitoring of facilities and hotel services across designated healthcare sites, ensuring environments remain safe, clean, compliant and patient focused. The role oversees a range of services including domestic cleaning, portering, waste management, linen services, security, grounds maintenance and catering liaison activities. You will act as the first point of contact for operational facilities issues, coordinating responses to incidents, resolving service concerns and working closely with clinical teams, contractors and stakeholders to ensure service needs are met. The role includes carrying out audits, inspections and quality checks, monitoring contractor performance, and supporting infection prevention and control requirements. The post holder will provide day-to-day supervision and support to facilities staff, assist with resource deployment and rotas, and promote compliance with organisational policies and procedures. You will also support health and safety, risk management and regulatory compliance activities, maintain accurate records and performance data, and contribute to service improvements, efficiency initiatives and business continuity arrangements. Job description

Hotel Services Management

  • Coordinate the day-to-day delivery of hotel services across the site.
  • Monitor cleaning, waste, linen, grounds maintenance, portering and associated services to ensure service standards are achieved.
  • Undertake routine quality inspections and audits of facilities services.
  • Investigate service issues and complaints and ensure timely resolution.
  • Support the implementation of cleaning schedules and planned service activities.
  • Monitor contractor performance and ensure contractual obligations are achieved.
  • Ensure facilities services support infection prevention and control requirements.
  • Contribute to a positive experience for patients, staff and visitors.

Operational Coordination

  • Act as the first point of contact for operational facilities issues.
  • Coordinate responses to urgent estates and facilities incidents.
  • Escalate significant service failures, risks and compliance concerns as required.
  • Liaise with clinical departments to ensure operational service needs are met.
  • Support business continuity arrangements during service disruptions.
  • Coordinate minor moves, changes and site logistics activities.

Staff Supervision

  • Provide day-to-day supervision and direction to hotel services staff.
  • Support staff induction programmes, training and competency assessments.
  • Assist with staff rotas and deployment of resources.
  • Monitor attendance and support absence management processes.
  • Promote staff engagement, wellbeing and professional development.
  • Ensure compliance with organisational policies and procedures.

Compliance and Assurance

  • Ensure compliance with Health and Safety legislation and ECCH policies.
  • Undertake workplace inspections and risk assessments.
  • Support statutory, mandatory and regulatory compliance requirements.
  • Monitor adherence to COSHH policies and procedures.
  • Ensure waste management processes comply with environmental regulations.
  • Participate in internal audits, inspections and accreditation assessments.

Financial and Resource Management

  • Monitor stock levels and consumable usage.
  • Support the control of departmental expenditure.
  • Assist with the procurement of facilities related goods and services.
  • Identify opportunities for service improvements, efficiencies and cost savings.

Information Management

  • Maintain accurate service records, audit documentation and operational data.
  • Produce reports and performance information as required.
  • Utilise CAFM, helpdesk and facilities management systems.
  • Monitor performance against agreed service standards and KPIs.

Communication and Professional Responsibilities

  • Develop effective working relationships with patients, staff, contractors and stakeholders.
  • Attend operational and departmental meetings as required.
  • Communicate service updates and operational information effectively and professionally.
  • Demonstrate ECCH Values and Signature Behaviours in all aspects of work.
  • Undertake any other duties commensurate with the grade and responsibilities of the post.
