Job summary

The Primary Care and Community Mental Health Service delivers high quality specialist community services to working-age adults experiencing mental health difficulties.

An exciting opportunity has arisen for a motivated and enthusiastic individual to join our Neighbourhood Mental Health Team as a Team Secretary/Administrator. This varied and rewarding role is pivotal in supporting the smooth day-to-day operation of the service.

You will need to be flexible and mobile as there may be a requirement to work at alternative bases within the county.

Main duties of the job

The successful candidate will be responsible for providing comprehensive administrative support to the team, ensuring tasks are completed accurately and efficiently. You will work closely with Team Managers, supporting operational processes and helping to maintain effective service delivery. The ability to organise and prioritise your workload independently, while managing competing demands, is essential.

We are looking for a proactive, approachable, and professional individual with substantial administrative experience. You will demonstrate excellent organisational and communication skills, a keen attention to detail, and the ability to use your initiative when responding to changing priorities.

The post holder must be capable of working independently, handling confidential and sensitive information with discretion, and building positive working relationships with colleagues, service users, and partner organisations.

This is an excellent opportunity for someone who is committed to providing high-quality administrative support within a busy and supportive mental health service.

Job description

As part of our team, you will provide a comprehensive and efficient secretarial and administrative service, supporting the effective day-to-day running of the Neighbourhood Mental Health Team.

Your responsibilities will include a range of administrative duties such as typing correspondence and reports, filing, maintaining records, uploading data, scanning and photocopying documents, arranging appointments, taking minutes at meetings, and managing incoming and outgoing mail.

You will act as a key point of contact for patients, carers, colleagues, and partner organisations, responding to both face-to-face and telephone enquiries in a professional and compassionate manner. The role requires the accurate recording and maintenance of information within patients' electronic health records, ensuring confidentiality and data protection requirements are adhered to at all times.

The successful candidate will be highly organised, possess excellent communication skills, demonstrate attention to detail, and be able to work effectively on their own initiative while managing a varied workload within a busy service environment.
