Job summary
An opportunity has arisen to provide comprehensive administrative support to our busy Brooke Treatment Unit.
You will be responsible for supporting the effective and efficient running of the ward alongside the Ward Manager and Operational Service Team in order to meet the ward objectives and those of the organisation.
Key responsibilities include maintaining an elective waiting list, arranging and coordinating patient admissions and discharges, and to provide day to day administrative support to the ward.
The Administrator will be expected to work with minimum supervision.
The role is challenging, encompassing many elements and requires excellent organisational and communication skills.
Main duties of the job
- Managing the waiting list for patients requiring urgent, semi urgent or planned admissions to the ward, ensuring timely access to care in line with clinical need and service targets
- Organising patient admissions and discharges, including transfers and repatriation to and from local hospitals, ensuring clear communication and continuity of care.
- Managing the flow of patients attending the Neurology Ambulatory Care Unit (NACU).
- Liaising with Medical and Nursing staff, MDT team and other departments to ensure diagnostic tests, treatments, and interventions are arranged and completed promptly.
- Fulfilling general administrative duties, including updating files containing sensitive, personal and confidential patient information.
- Organising case conferences, professional meetings and ad hoc meetings as required, ensuring all parties are notified of the time, date and venue.
- Dealing with enquiries from service users, relatives and visitors at times of stress and uncertainty, which may be distressing, emotional or sensitive.
- Organising outpatient appointments for patients requiring follow up post discharge.
- Assisting ward managers/matrons in the investigation of non-clinical adverse events with appropriate support and supervision.
- Supporting ward managers/matrons to sustain high levels of efficiency and effectiveness that ensure positive outcomes and reduce the risk of harm.
