Job summary

We are seeking an organised and motivated Child Death Review Coordinator to join the Safeguarding Team on a fixed-term basis for 12 months, working 30 hours per week. This is an important administrative and coordinator role supporting the statutory Child Death Review process across Somerset and Dorset. Travel will be expected.

The post holder will act as a central point of contact for sensitive and confidential information, coordinating with a range of partner agencies to support the Child Death Review process, including health services, local authorities, police and coroners. The role involves managing information, supporting meetings and maintaining accurate records to ensure the effective delivery of the Child Death Review function. This is an excellent opportunity for an experienced administrator who is highly organised, able to work with sensitive information and committed to improving outcomes for children and families.

Main duties of the job

The Child Death Review Coordinator provides specialist administrative support to the statutory Child Death Review process, ensuring that sensitive information is managed securely and statutory timescales are met. The role acts as the central point of contact for child death notifications and coordinates information gathering from partner agencies, including health services, local authorities, police and coroners. Key responsibilities include:

  • Managing and maintaining child death review records and the electronic Child Death Overview Panel (e-CDOP) system.
  • Coordinating the collection of information from partner agencies and preparing case documentation for review meetings and panels.
  • Organising meetings, preparing agendas, taking minutes and distributing actions and outcomes.
  • Supporting the production of reports and including performance monitoring and governance requirements.
  • Acting as a liaison between professionals and organisations involved in the Child Death Review process, ensuring effective communication and collaboration.
  • Providing administrative support and advice to safeguarding leads and clinicians, while maintaining confidentiality and information governance standards at all times.

This role requires excellent organisational skills, attention to detail and the ability to work with highly sensitive and sometimes distressing information in a professional and compassionate manner.

The post holder acts as the central point of contact for managing sensitive, confidential information regarding the statutory child death review function. They coordinate with partner agencies, handle e-CDOP (electronic Child Death Overview Panel) systems, and prepare documentation for panel meetings.

Key accountabilities

  • Information Management: Receiving notifications of child deaths, collecting data from agencies (police, coroner, health), and preparing case files for CDOP meetings.
  • System Administration: Utilizing the e-CDOP system to track cases, maintain accurate records, and ensure information security.
  • Communication: Acting as a liaison between professionals, including social care, health teams, and police.
  • Meeting Support: Arranging and minuting child death review meetings.
  • Support: Providing administrative support to lead clinicians and managers in the child death review process.
  • Supporting the team with the management of projects, gathering information and undertaking enquiries as and when is necessary

Main responsibilities:

  • Provide specialist administrative support and advice to the statutory Child Death function and be the initial point of contact for all CDOP information received by the ICB. Completing the following duties:
  • Sorting and prioritising all incoming mail and e-mail, distributing as appropriate and ensuring statutory deadlines are met.
  • Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
  • Identifying gaps and escalating safeguarding concerns to Designated Nurses.
  • Organising and planning events as necessary and collating supporting information material.
  • Inputting, monitoring, checking and analysing data.
  • Working with all team members in the collection of information for performance reporting.
  • Running and collating reports which may include reports to the Child Death Review meetings, Child Death Overview Panels, Cluster Mortality Group, Quality Committee. Board and senior management as required.
  • Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team.
  • Preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews as necessary.
  • Providing guidance and advice on relevant policies and procedures.
  • To carry out other appropriate delegated duties as required.
