Job summary
The Ophthalmology Department is recruiting Pathway Coordinators to join our busy Eye Casualty Administration team.
Available Posts:
- 1 x Part-time post (27.5 hours per week)
These roles require a professional, tactful and sensitive approach particularly when communicating with patients and multidisciplinary clinical teams. A strong commitment to confidentiality and maintaining high standards of data quality is essential.
Applicants must be able to work effectively under pressure, manage and prioritise their workload and demonstrate excellent organisational skills. The ability to identify issues and escalate concerns appropriately to the Team Leader or Admin Manager in a timely manner is also required.
Strong communication and interpersonal skills are essential along with the ability to work both independently and collaboratively within a team environment. Successful candidates will demonstrate excellent customer service and IT skills, as well as the ability to use initiative and exercise discretion when required.

Main duties of the job
- Provide comprehensive administrative support to ensure the smooth day-to-day running of the department.
- Work collaboratively within the team to ensure continuous cover is maintained at all times, supporting the delivery of an essential service.
- Provide reception cover for clinics and Eye Casualty, delivering a professional and patient focused service.
- Prepare and organise patient notes for Eye Casualty clinics in a timely and accurate manner.
- Process clinic outcomes accurately and efficiently, including adding patients to the relevant waiting lists where required.
- Use a range of hospital systems, including Nervecentre, Medisight, Medirota, and other clinical and administrative platforms.
Job description
- Provide reception cover on a rota basis, including booking and registering patients accurately and efficiently.
- Receive referrals and arrange new and follow-up appointments in line with service requirements.
- Ensure full utilisation of available clinic slots to support effective patient flow and service efficiency.
- Respond to prioritised workloads in the appropriate order to ensure tasks are completed within agreed target times.
- Work collaboratively with administrative colleagues to develop familiarity with departmental processes and terminology, ensuring effective cross cover during periods of absence.
- Carry out general administrative duties, including photocopying, filing and other tasks necessary to support the patient journey.
- Handle telephone enquiries professionally, responding appropriately or directing queries as required.
- Setting up and prepping clinics in advance and filing of relevant documentation.
- Use a range of hospital systems, including Nervecentre, Medisight, Medirota, and other clinical and administrative platforms.
- Ensure all patient appointment information is recorded accurately and maintained in line with departmental procedures.
- Accurately record all clinic outcomes on both paper and electronic systems.
- Undertake additional administrative and support duties relevant to the role, including typing correspondence, and assisting with contacting patients regarding TCI arrangements.
- Ensure compliance with all Local and National Standards relating to referrals, RTT and National Cancer Targets, date stamping, data quality checks, partial booking processes, and UHL Patient Access and Data Management policies.
