Main duties of the job

As a Receptionist/Administrator, you will play a key role in ensuring patients receive a professional, welcoming and efficient service. The successful candidate will play a vital role in supporting the delivery of high-quality patient care by providing an efficient, courteous and responsive reception and administrative service. Main Duties of the Role

  • Provide a welcoming and professional reception service to patients, visitors and healthcare professionals.
  • Manage incoming telephone calls, online requests and face-to-face enquiries, directing patients to the most appropriate service.
  • Process appointment requests and maintain the clinical appointment system.
  • Support the registration of new patients and update patient records accurately.
  • Process clinical correspondence and accurately enter information into patient healthcare records.
  • Scan, photocopy and file documentation in accordance with practice procedures.
  • Manage incoming emails, e-consults and administrative tasks within agreed timescales.
  • Assist with prescription-related administration and patient enquiries.
  • Liaise with GPs, nurses, healthcare professionals and external organisations to support patient care.
  • Action routine practice tasks, including call and recall programmes, DNA processes and other administrative workflows.
  • Maintain confidentiality and comply with information governance, safeguarding and data protection requirements at all times.
  • Support colleagues across the practice and provide cover during periods of staff absence where required.

About the Successful CandidateWe are looking for an individual with excellent communication and customer service skills who enjoys working in a busy environment. You should be organised, reliable and able to manage competing priorities while remaining calm and professional. Previous experience within an administrative, reception or healthcare setting is desirable, together with good IT skills and the ability to work effectively both independently and as part of a team.

The post holder may be required to undertake additional duties appropriate to the role to support the effective running of the practice.
