Administrative Assistant with a focus on HR

£12.83 per hour Full time 37.5 hours per week

Yorkshire Health Partners are looking for an applicant who will support the administrative team with a range of administrative, data entry and HR tasks.

The postholder will provide a high-quality administrative support service ensuring the effective delivery of day-to-day administrative functions which will include accurately inputting data into systems, providing telephone support to our stakeholders and patients, managing diaries, arranging meetings etc. In addition, the role offers the opportunity to gain experience in a range of Human Resources activities, supporting the organisation's workforce and recruitment functions while developing the knowledge and skills required for future career progression within HR.

There is a potential opportunity for the right candidate tobe supported to undertake a Level 3 Human Resources qualification, such as the CIPD Level 3 Foundation Certificate in People Practice.

This role is ideal for individuals interested in developing a career in Human Resources and provides valuable exposure to recruitment, onboarding, and workforce administration.

Main duties of the job

Key Administration responsibilities include, but are not limited to

Accurately input, maintain and update information on organisational systems, ensuring data quality and confidentiality at all times.

Respond to telephone calls, emails and general enquiries, providing information and directing requests appropriately.

Support appointment booking, referral processing and associated administrative activities.

Manage diaries, arrange meetings and prepare relevant documentation as required.

Maintain electronic and paper-based filing systems, ensuring records are accurate, up to date and accessible.

Support the coordination of team activities and assist in the smooth day-to-day operation of services.

Produce routine reports, correspondence and other documents using Microsoft Office and organisational systems.

Prioritise and manage workload effectively, ensuring tasks are completed accurately and within agreed timescales.

Work collaboratively with colleagues and stakeholders to support effective service delivery.

Contribute to the review and improvement of administrative processes and procedures.

Provide administrative support for recruitment campaigns across a range of roles, including responding to enquiries from managers, colleagues and applicants.

Promote vacancies through a variety of appropriate channels, including digital and social media platforms.

Coordinate and schedule interviews and other recruitment activities, liaising with applicants and recruiting managers as required

As the postholder develops their knowledge, skills and experience within Human Resources, they may have the opportunity to undertake additional HR responsibilities, including but not limited to:

Provide administrative support for recruitment campaigns across a range of roles, including responding to enquiries from managers, colleagues and applicants. This will include assisting with the development, coordination and delivery of recruitment campaigns for Yorkshire Health Partners and partner organisations where required.

Promote vacancies through a variety of appropriate channels, including digital and social media platforms.

Coordinate and schedule interviews, assessment centres and other recruitment activities, liaising with applicants and recruiting managers as required.

Proactively manage candidates throughout the recruitment process, monitoring progress, maintaining regular communication and ensuring recruitment activities are completed in a timely manner.

Collate and process documentation required for pre-employment checks, including references, DBS checks, right to work verification and professional registration checks where applicable.

Prepare recruitment documentation, including conditional offer letters and employment paperwork, for review and authorisation by the appropriate manager.

Maintain accurate and confidential employee and recruitment records, ensuring all HR information is entered onto organisational systems in a timely manner.

Produce accurate HR data and reports as required to support workforce planning, compliance monitoring and management decision-making.

Support onboarding activities, ensuring all necessary documentation and employment checks are completed prior to commencement of employment.

Handle HR information sensitively and confidentially, ensuring compliance with GDPR, organisational policies and employment legislation.
